Refund & Cancellation Policy

We keep this short and honest. All payments to MyGymPanel are final and non-refundable. You can cancel any time — your plan stays active until the end of the current billing cycle, and we simply don't bill you again.

No refunds, ever — please decide carefully
Once a payment is processed (monthly, quarterly, or annual), it is 100% non-refundable, in part or in full, for any reason — including unused time, accidental purchase, change of mind, lack of usage, downgrade, or account closure. We strongly recommend exploring the free tier or trial before subscribing.

1. Why we don't offer refunds

MyGymPanel is a subscription software product. The moment you subscribe, your gym immediately gains access to staff seats, member apps, storage, compute, plan generation and support — costs we pay for upfront on your behalf. Issuing refunds after delivery is not viable for us at our current pricing.

To protect this, we make sure you can fully evaluate the product before paying:

  • A free plan / trial is available so you can test workflows end-to-end.
  • Pricing, features and limits are documented on the pricing page.
  • Our team is happy to answer pre-sale questions over email before you upgrade.

2. Cancelling your subscription

You can cancel your paid plan at any time, with no penalty and no questions asked, from Owner Settings → Billing → Cancel Subscription. Cancellation is instant and self-serve — you do not need to contact support.

You keep access

Your plan, features, members and data remain fully active until the end of the current billing cycle you've already paid for.

No future charges

From the next billing date onward, you will not be charged. Your subscription does not auto-renew.

3. What happens at the end of the cycle

  • Owner account — automatically downgraded to the free tier (if available) or moved to read-only.
  • Members & trainers — keep their accounts; access to paid features ends with the cycle.
  • Data — retained per our Data & Storage Policy. You can export attendance, invoices, notifications and community logs before the cycle ends.
  • Reactivation — you can resubscribe any time; existing data simply lights back up.

4. Data lifecycle after your subscription ends

We don't wipe your gym the moment a subscription ends. Your data moves through a clearly staged lifecycle so you have every chance to come back, export, or close cleanly. Each stage is automatic and you'll always have access to export tools while data exists.

Step 1Immediately after the paid cycle ends
Soft disable — your gym goes read-only
  • Access is frozen: owners and staff can sign in and view, but cannot make changes.
  • New data creation pauses — no new check-ins, chat messages, invoices, plan assignments or store orders.
  • Members see a clear 'subscription expired' notice on their dashboard.
  • All existing data stays 100% intact — nothing is deleted at this stage.
Step 2Grace period — first 7 to 30 days after expiry
Grace period — easy reactivation window
  • Everything is preserved exactly as it was: members, plans, invoices, chat, attendance, store.
  • One-click reactivation: pay any active plan and your gym is back online instantly with no data loss.
  • Export tools remain fully available so you can pull CSVs and text logs at any time.
  • Most owners who come back, come back in this window.
Step 3Archive — after the grace period (up to ~3 months from expiry)
Archived storage
  • Your data is moved to archived / inactive storage to reduce ongoing cost.
  • Reactivation is still possible, but it may take a short time to restore the full workspace.
  • Until the end of the 3rd month from expiry, we make a best-effort guarantee that your data still exists and is recoverable.
  • Members keep their account, but no longer see your gym in their app while it is archived.
Step 4Permanent deletion — any time after 3 months from expiry
No guarantee — data may be permanently deleted
  • After the 3-month mark from expiry, there is no guarantee your data still exists.
  • Archived gyms may be permanently deleted at any time — typically within 4–12 months, but it can happen sooner if storage costs or legal retention requirements call for it.
  • Once deleted, members linked to your gym permanently lose access to that gym's data (their own personal account is unaffected).
  • Permanent deletion is irreversible. We do not keep backups beyond this point.
Want to keep your data forever? Export before Step 3.
The safest practice is to export attendance, invoices, notifications and community logs before the grace period ends. Use Owner Settings → Export Data. Once data hits the archive stage and especially after the 3-month mark, recovery is best-effort and not guaranteed.

5. Edge cases we will refund (very limited)

The only situations where we will issue a refund:

  • Duplicate charge — you were billed twice for the same cycle due to a payment-processor error.
  • Verified fraudulent charge — your card was used without authorization and you've filed a report.
  • Service-wide outage — a sustained outage caused directly by us, lasting beyond what's promised in our SLA. Refund is pro-rated to the affected period.

To raise such a claim, email support@mygympanel.com within 7 days of the charge with your invoice ID and a description of the issue. We typically respond within 3 business days.

6. Failed payments & involuntary cancellation

If a renewal payment fails (expired card, insufficient funds, bank decline), we'll retry a few times and notify the gym owner by email and in-app. If the payment still doesn't go through after the grace period, the subscription will be paused — your data is preserved as per the Data & Storage Policy, and you can update payment details to reactivate.

7. Plan changes (upgrades & downgrades)

  • Upgrades take effect immediately. The new amount is charged pro-rated for the remainder of the current cycle.
  • Downgrades take effect at the start of the next billing cycle. No partial refund is issued for the price difference of the current cycle.

8. Free trials

If we offer a free trial, you will not be charged during the trial period. If you upgrade or convert to a paid plan during or after the trial, this Refund & Cancellation Policy applies in full from the moment payment is processed.

9. Chargebacks

Filing a chargeback or payment dispute without first contacting us is a violation of our Terms of Service. Doing so may result in immediate suspension of the gym account pending resolution. Please email us first — we resolve almost every billing issue within a few days.

10. Jurisdiction & changes

This policy is governed by the laws of India and forms part of our Terms of Service. We may update this policy from time to time; the version in force is always the one published at this URL with the "Effective" date above. Material changes will be communicated by email and in-app at least 14 days in advance.
